Privacy Policy – TraceX

At TraceX, we are committed to protecting the privacy of all individuals whose personal information we collect, use, or disclose. We operate in accordance with all applicable privacy legislation in Canada, including Ontario’s privacy laws and the federal Personal Information Protection and Electronic Documents Act (PIPEDA). Our commitment to privacy is rooted in our role as trusted digital forensic professionals assisting with sensitive investigations in regulatory, workplace, and legal contexts.


This Privacy Policy outlines how we manage personal information and demonstrates our dedication to transparency, accountability, and the responsible handling of information.


What is Personal Information?

"Personal information" refers to any information about an identifiable individual. This includes details that can distinguish or identify someone, such as their name, address, phone number, date of birth, email address, employment information, health or financial records, personal opinions, or evaluations. Personal information does not include publicly available information such as names and phone numbers published in public directories.


Who We Are

TraceX is comprised of experienced forensic professionals who may access personal information in the course of their duties. Access is strictly limited to what is necessary for the specific service being provided. We enforce rigorous privacy standards and safeguard all personal information entrusted to us.


Our Privacy Principles

TraceX adheres to the ten principles of PIPEDA, which guide our practices:

  1. Accountability
    We are responsible for personal information under our control and have designated a Privacy Officer to ensure compliance with this policy.
  2. Identifying Purposes
    We identify the purposes for which personal information is collected, typically related to the provision of investigative and forensic services to our clients.
  3. Consent
    We obtain consent before collecting, using, or disclosing personal information, except where otherwise permitted or required by law. In certain investigative contexts, collecting information without consent may be necessary to preserve the integrity of the investigation. We always operate within applicable legal frameworks.
  4. Limiting Collection
    We collect only the personal information necessary for the purposes identified and use lawful and fair means.
  5. Limiting Use, Disclosure, and Retention
    Personal information is used and disclosed only for the purpose for which it was collected unless otherwise authorized by law. It is retained only as long as necessary to fulfill those purposes or as required by applicable laws.
  6. Accuracy
    We take reasonable steps to ensure that personal information is accurate, complete, and up-to-date as necessary for the purposes for which it is used.
  7. Safeguards
    We use appropriate security measures to protect personal information against loss, theft, unauthorized access, disclosure, copying, use, or modification. This includes both physical and digital safeguards.
  8. Openness
    We are open about our policies and practices regarding the management of personal information and make this information readily available.
  9. Individual Access
    Upon written request, we will inform individuals about the existence, use, and disclosure of their personal information and provide access, subject to legal limitations. Individuals may request corrections if their information is inaccurate or incomplete.
